Approving Posts Your Agency Sends You
Before your agency publishes a post to your Google Business Profile (or your Facebook / Instagram), they may send you a draft to approve. This page walks through exactly what you'll see.
What you'll receive
An email like:
Your Agency would like your approval on a new post. Subject: Spring service special — drafted for Joe's Plumbing[Review & Approve]
Click Review & Approve. You don't need to sign in — the link itself is your authorization.
What the approval page shows
You'll land on a page that looks roughly like a social media post preview:
- The image the agency drafted (often AI-generated, sometimes a photo you sent).
- The post text as it would appear on your profile.
- Which platforms it would publish to (Google, Facebook, Instagram).
- When it's scheduled to publish if approved.
- An optional brand watermark / logo on the image, if your agency has that turned on.
Your three options
1. Approve
Click Approve. The agency is notified instantly, and the post will publish at the scheduled time. You're done.
2. Request a revision
Click Request Revision. A text box appears — describe what you'd like changed:
"Can we use 'plumbers' instead of 'team'? Also the image looks a bit dark."
The agency receives your feedback as a new version request. When they reshape the post, you'll get a fresh email link to review the revised version.
You can request revisions as many times as needed. Each revision is marked with a round number ("Round 2") and you can see what was in the previous round on the same page for comparison.
3. Reject
Click Reject if the post just doesn't fit. The agency is notified and the post is cancelled — it will not publish.
Tips
- There's no rush, but post timing matters. If the scheduled publish time passes before you approve, the post won't go live. The agency may reschedule it.
- Mobile-friendly. You can do all of this from your phone in less than 30 seconds.
- No login required. The link itself is your authorization — don't forward it to anyone you don't want approving on your behalf.
- Already approved? Need to undo? Reply to the agency directly; once a post publishes there's no in-app un-publish.
What happens after you approve
- The platform schedules the post for the time the agency specified.
- At that time, it's published to Google Business Profile.
- If your agency configured social syndication, the same post automatically goes out to your connected Facebook / Instagram a few seconds later.
- You can see it live by visiting your Google Business listing.
Troubleshooting
| Problem | Fix |

| Link says "Already actioned" | Someone (maybe you, on a different device) already approved or rejected. Contact your agency if it wasn't intended. |
| Link says "Expired" | Approval links expire after 30 days. Ask the agency to resend. |
| Image looks broken / blank | Try another browser, or contact your agency — they may need to regenerate the image. |
| You don't see the Approve button | Your screen may be too narrow. Scroll down — buttons are below the post preview on mobile. |
