Inviting & Managing Your Team
Owners and admins can invite, role, scope, and remove team members from Settings → Team.
Inviting someone new
- Go to Settings → Team.
- Click Invite Member.
- Enter their email and pick a role. Invitation dropdown options: Admin, Member, Viewer, Client. (Owners are added by promoting an existing member.)
- (Members and viewers only) Optionally scope them to specific businesses — they'll only see those.
- Click Send Invitation.
The platform emails them an invitation that expires in 7 days. They click Accept, set a password (or sign in with Google), and land directly in your workspace.
Choosing the right role
A quick mental model:
- Owner — co-founders, your business partner. Full power. Be sparing.
- Admin — your senior staff (operations lead, head of accounts). Near-equivalent to owner.
- Member — your day-to-day operators (account managers, content creators, SEO specialists). The default for new hires.
- Viewer — client-success staff or junior team. Read-only view of the agency-side app.
- Client (Client Reviewer) — the end customer at the client business when you want to give them limited dashboard access. Scoped to their own business only.
Provider Access for external contractors (freelance designers, web devs) is a separate grant — see Roles & Permissions for details. It's not part of the invite flow above; it's a per-case grant managed at the platform-admin level.
See Roles & Permissions for the full matrix.
Editing a member
Click any name in the team list to open the Edit Member dialog:
- Change role — takes effect immediately. Promoting a member to admin clears any business scoping.
- Edit scoping — for members and viewers, pick which businesses they can see. They won't see profiles, cases, contacts, or reports outside that set.
- Resend invitation — for members who haven't accepted yet.
- Remove — revokes access immediately. Their account isn't deleted (they may belong to other orgs); they just lose access to yours.
Pending invitations
A separate Pending tab shows everyone who has been invited but hasn't accepted yet. From here you can:
- Resend the email.
- Copy the invitation URL to share by another channel.
- Cancel the invitation if you sent it to the wrong address.
Scaling tips
- Start small. Give new hires
memberwith scoping to one or two clients. Expand as they show ownership. - Don't proliferate owners. Two or three is plenty.
- Use Provider Access for contractors. Don't add a freelance designer as a member — Provider Access is purpose-built and keeps your other client data invisible to them. Contact support to set this up.
- Quarterly audit. Review the team list every quarter and remove anyone who's no longer working with you.
